7 Free Tools To Manage Virtual Events

Due to the pandemic, the New Normal Era has impacted the health sector and various other sectors such as the economy, social affairs, tourism, education, and others. Different daily activities that can cause crowds have begun to be regulated in such a way as to implement strict health protocols to minimize the transmission of the virus.

Events previously carried out face-to-face should now be carried out virtually as much as possible. However, some can still be carried out face-to-face and must undergo strict licensing and health protocols.

In managing virtual events, we need to study the latest technology, especially in executing it. For this reason, this time, I will share seven free tools for managing virtual events that are not very innovative but are very effective and vital in planning and executing virtual events:

1. Trello

Trello is a collaboration tool for organizing a series of projects in board form. In Trello, you can display what is being done, who is doing what, and what activities are in progress, as well as various notes and attachments to support the process.

Using Trello is like using a blackboard. We paste sticky notes in a row that contains tasks for other members and us. We can also set it up so that if a team member updates a card, it will send a notification to our email or Slack, so we can quickly follow up.

2. Canva

Canva is a free graphic design platform perfect for creating posters, Instagram content, and business cards; honestly, there are so many other use cases. About interfaces? It's cool because all you have to do is drag and drop, and it's already equipped with thousands of templates that we have to adjust to the content we want. With Canva, we can do editing and graphic design without excellent editing skills or experience.

We can use Canva as one of the free tools for managing virtual events to make poster campaigns for our event, both in 1:1 and 16:9 scale, to be posted on Instagram stories. We can also create various other design needs, such as sponsorship proposal decks and virtual event backgrounds, with these tools.

3. Mailchimp

Mailchimp is a marketing automation platform designed and developed for businesses that use email to reach their target market. It is an all-in-one tool where we can manage our mailing list, create custom email templates, and manage and automate our entire marketing campaign.

We can use Mailchimp as a free tool to manage virtual events to promote the event we will hold through Mailchimp's email blast feature. Mailchimp allows us to import as many as 2,000 contacts for its free trial version, with 10,000 emails sent monthly. Interesting, right?

4. Zoom

We are all very familiar with these tools. Zoom is a cloud-based video conferencing tool that allows us to hold one-on-one or team virtual meetings easily.

We can use Zoom as a tool for managing virtual events. To use Zoom with long event durations, we must subscribe to the Pro version for $14.99/month because the basic understanding only gives us 40 minutes per meeting event. We can also subscribe to the Zoom Webinar feature for those who are more advanced. However, we can use Google Meet as an alternative to free tools.

5. OBS (Open Broadcaster Software)

In short, OBS (Open Broadcaster Software) is free software for video recording and live streaming to YouTube, Twitch, and many other platforms. Using these tools, we can make events more exciting and attractive by adding layout designs and other elements in virtual meetings broadcast to Zoom and YouTube.

6. YouTube LIVE

YouTube Live is an easy way to interact with our audience in real-time. We can use this platform as a free tool to manage virtual events for streaming events, teaching, or holding workshops. To live to stream our event to YouTube, we must integrate it with Zoom.

We can also add integration with OBS (Open Broadcaster Software) if we want it to look more attractive and attractive. However, don't be surprised if broadcasts on YouTube have a delay of about 20 seconds from real-time on Zoom.

7. Bitly

Bitly is a URL Shortener service and Link Management Platform that allows us to change long URLs to be more concise and can also specify a name that is easier to remember on the shortened URL. Besides bit.ly, many other link shortener services exist, such as goo—Gl, adf.ly, TinyURL, short.io, and others.

So far, these seven free tools for managing virtual events are enough for us to work on a virtual event. We can also use team coordination tools, such as Google Drive, Dropbox, Slack, and Zapier. There are also alternatives to the tools above, such as Facebook Live for streaming platforms, Webex or Microsoft Teams as Zoom alternatives, Streamlabs or StreamYard for OBS alternatives, and many Mailchimp alternatives, such as Sendinblue, sending. Email, m-target, and others.

If you want to create a virtual event, you can rely on XOEO to hold it. XOEO has more than seven years of experience creating, managing, and organizing events and bringing together several companies to collaborate and collaborate.
